What we collect, and what we do with it.
This notice covers the website at vadix.net, the forms on it, and the Captain desktop application. It is written to be read, not skimmed past.
1. What we collect
Forms you fill in
The contact form, the AI readiness assessment report request, the whitepaper request, the Architect early-access list and the optional Captain email sign-up collect what you type: your name, email address, company, and your message or assessment answers. To keep the forms free of spam we also record the IP address and browser identification string sent with the submission and the time the form was opened and sent. Each submission is stored as a file in Azure Storage in the United States and delivered to us by email through Azure Communication Services. Where a form promises you a document or a confirmation, we send it to the address you gave.
Page views
We count visits ourselves, without cookies: one total per day for each page path, referring website and device class (phone, tablet, desktop). No IP address, user identifier or session is stored, and requests carrying the Do Not Track signal are not counted at all.
Bot protection
Forms are protected by Cloudflare Turnstile. When you use a form, Cloudflare processes connection data to decide whether a browser is real, under Cloudflare's privacy policy. Turnstile may set a cookie needed for that check; we do not read it.
Fonts and browser storage
Typefaces load from Google Fonts, so your browser requests font files from Google under Google's privacy policy. The site stores a copy of its own page content in your browser's local storage so pages load quickly; this contains no information about you and can be cleared with your browser data.
Captain
Captain is local-first. Meeting audio is transcribed on your computer and never sent to us. Transcript text is sent only to the AI provider you configure with your own key (OpenAI, Anthropic or Azure OpenAI), or to a local model if you choose one, under that provider's terms. API keys are kept in the Windows Credential Manager on your machine. Captain does not report usage to VADIX. The download itself is never gated on an email address.
2. Why we process it
- To answer the message you sent us and, if you ask, to arrange a call. This is the performance of a request you made.
- To send the report, whitepaper, confirmation or product updates you requested. You can stop product updates with the unsubscribe link in any email or by writing to us.
- To keep the site and the forms working and free of abuse, which is our legitimate interest in running the service.
- To understand which pages are read, using the cookieless counts described above.

We do not sell personal data, share it with advertisers, or use it to build profiles. We disclose it only where the law requires.
4. How long we keep it
Form submissions are kept while there is a live conversation or engagement and for a reasonable period afterwards so we can pick the thread back up; they are deleted on request at any time. Rate-limiting records expire automatically within hours. Daily page-view counts contain no personal data and are kept indefinitely.
5. Your rights
You can ask what we hold about you, ask for it to be corrected or deleted, or object to a use described here, by emailing hello@vadix.net. We answer within one business day and complete deletion requests within 30 days. If you are in a jurisdiction with a privacy regulator, you can also complain to it.
6. Security
The site is served over HTTPS only with security headers on every response; storage is encrypted at rest; access to submissions is limited to the founder through Microsoft Entra ID. Details are on the Trust & Security page.
7. Children
The site and Captain are for businesses and professionals and are not directed at anyone under 18. We do not knowingly collect data from children.
8. Changes
When this notice changes, the effective date above changes with it. Material changes to how we use data already collected will be announced on this page before they take effect.
